Personal Assistant to Managing Director (Part-Time): Je functie
As the Personal Assistant of the Managing Director, you will be part of a nice 8 persons team who is working on a social entrepreneurial way for a good cause. However, Close the Gap does not receive any government funding, therefore a corporate attitude and mindset is required to exceed expectations from the corporate partners. Together with the Managing Director you will make sure of the office good functioning:
Providing high level organisational and administrative support and working closely together with the Managing Director
Managing the Managing Director’s agenda, contacts and later on his email-inbox
Managing proactively the calendar, scheduling and coordinating meetings, and making and confirming appointments
Coordinating other invitations and events where the Managing Director is present or involved
Preparing PowerPoints and other documents
Acting as a point of contact for executives, partners and other business relations
Organising all travel and accommodation, both international as local
Managing all incoming and outgoing mail and sort internally and manage the Managing Director’s mail , as well ‘general management’ related mails
Managing the payroll together with the payroll processing service provider
Managing all HR matters (illness, vacations, in-house regulations, fleet, etc.)
Managing expenses registration
Assisting in the pre-accounting and payments together with the accountant
Coordinating ad hoc projects
Acting as a ‘welcoming host’ for visitors to the office and coordinate the office management, by including all team members in a role schedule for office management task such as kitchen, mail

Education: Minimum Bachelor Degree (Office Management, Languages, ...) or an equivalent through experience
Languages: You have an excellent knowledge (oral and written) of Dutch (first language used) with a very good level of English and French
Experience: Have at least several years relevant professional experience as a PA or Office Manager
PC skills: You have a strong working knowledge of MS Office tools : Word, Excel, PowerPoint, E-mail and ability to learn quickly new systems
Personality and competencies:
A genuine and keen interest in ‘development work towards developing countries’ with a mindset of equality between partners
You are a mature, well-balanced and trustful person
Must be self-motivated with excellent organization skills
Loyalty, discretion and integrity are important values you cherish
Able to create good relationships with internal and external stakeholders
You have outstanding interpersonal and communication skills and the demonstrated ability to effectively interact with high profiles
Attention to detail is critical and must maintain high level of professionalism at all times
You are service minded, friendly and enjoy working within a small team in an dynamic environment who works for a good cause
You are proactive, solution orientated and have an enthusiastic personality with a can-do attitude
Ability to work independently with limited guidance, able to multi-task, capable of establishing and managing multiple priorities simultaneously
