Personal Assisant @ Multinational: your function

Within the Brussels site, they are looking for an experienced Personal Assistant who will provide proactive support to a team of very high level VP's (2).
These VP's travel extensively, therefore the Assistant must anticipate their needs with respect to information, scheduling travel and priorities and maximize their effectiveness by providing them with first-rate administrative support. (S)He pro-actively searches for solutions and possibilities for her/his managers within this challenging business environment:

  • Planning and following up of detailed international travel itineraries which include airfare, rail, ground transportation, hotel reservations, car rental, etc.
  • Organize team meetings and regional conferences for the management team and liaise with other management assistants to ensure a smooth process from start to finish. This may also include the organization of meetings abroad and support onsite when necessary.
  • Co-ordinate all other meetings, events, teleconferences and video conferences and ensure communication is disseminated to all relevant participating parties. Co-ordination may include: drafting agendas, providing meeting supplies, creating reports and presentations, booking of meetingrooms, VC rooms and so on.
  • Creating and maintaining calendar of appointments, conference calls, meetings and conference registrations including all logistics that might be necessary.
  • Reconciling travel, expense reports, receipt submission,etc as well as the follow up and submission of tax diaries for the managers.
  • Giving adhoc support where needed such as reporting, presentations, ...
  • Later on being more involved in projects, if the occasion occurs.

The role requires judgment, discretion, and diplomacy in dealing with at times highly sensitive and confidential material.

Personal Assisant @ Multinational: your profile

  • Education: Minimum Bachelor Degree (Office Management).
  • Languages: You have an excellent knowledge (oral and written) of English (first language used) with a very good level of Dutch and French.
  • Experience: Have at least 5 to 8 years relevant professional experience in a multinational environment and with senior managers.
  • PC skills: You have a strong working knowledge of MS Office tools : Word, Excel, PowerPoint, E-mail and ability to learn quickly new systems. You also have an good working knowledge of new technologies and are not afraid to use them to your manager’s advantage (for example travel applications on the Iphone).
  • Personality and competencies:
    • You are a mature, well-balanced and trustful person. Moreover this position requires strong initiative, assertiveness and a high level of energy and flexibility.
    • Ability to work independently, able to multi-task, capable of establishing and managing multiple priorities simultaneously as well as see projects through with limited guidance.
    • Must be self-motivated with excellent organization skills and experience, remain composed under pressure.
    • Service minded and the ability to work proactively to anticipate needs of the management team. Not afraid to dive in and speak up when necessary. Able to create good relationships with internal and external stakeholders.
    • Attention to detail is critical. This position requires fast learning skills and must maintain high level of professionalism at all times in a very fast paced and demanding environment.
    • You are service minded, friendly and enjoy working within an international team environment.
    • You are proactive, solution orientated and have an enthusiastic personality with a can-do attitude.
