Administrative Assistant: je functie

The role of Assistant will be primarily to take responsibility for document filing and Procure to Pay (P2P) support to all support services. In addition to the responsibilities and tasks specified below, the Assistant may be asked to participate in ad-hoc projects from time to time.

  • The P2P assistant ensures that invoices and expense statements are posted and paid in line with procedure(s) and authorization policy in place and within deadline.
    • Ensuring the proper creation of Purchase Order (PO) numbers
    • Understand all details of invoices
    • Align with Business contact on context of invoice and how this affects the coding of the invoice
    • Act as main focal point for all Support departments for P2P creation
  • Assisting the Team Assistant, by ensuring the proper filing (physical / database & electronic) of all official and material documentation executed by entities in compliance with the company filing policy, including:
    • receipt of documentation from all areas of the business; scanning (if required)
    • filing electronically
    • entering document references into a database; and
    • filing physically
  • General / Adhoc
    • Occasional reception duties
    • Stock-taking of department stationary requirements
    • Coordination of signature collection.

Administrative Assistant: je profiel

  • Experience: 0- 3 years' experience
  • Languages: Excellent written and spoken knowledge English and Dutch; any other European language is a plus
  • IT: Knowledge of Microsoft Office, in particular Word. Affinity with database/software packages in a procurement/finance environment
  • Personality & Competencies:
    • Attention to detail is critical and deadline driven; highly organised and methodical approach to work
    • Pro-active with a “getting things done”-mentality
    • Team player and ability to work within dynamic environment
    • Willingness to take tasks that may fall out of scope
    • You are service minded, friendly and enjoy working within an international team.
